Defining a Future State Alumni Engagement Data Strategy and Architecture

The Alumni Relationship Department of a top-tier research university needed guidance on tracking alumni engagement during donation generating campaigns. Sagence worked with senior leaders to identify components of the alumni journey to improve the alumni experience and developed a roadmap that identified the workstreams required to achieve the future state vision.


The Alumni Relationship Department was beginning a new multi-year program to solicit donations from its alumni base. After reviewing their last successful campaign, they noticed that the majority of their time and effort was spent on large donors who gave 80% of the total dollars raised which resulted in a lack of engagement with younger donors who will be the large donors of tomorrow.


Sagence interviewed key stakeholders and senior leadership to define the current state data landscape and partnered with them in develop a future state data strategy, data architecture, and implementation roadmap. The data strategy included required business and organizational capabilities and was designed to utilize data to achieve key business objectives. Recommendations included the creation of a data governance program and associated activities required to manage the data needs of the organization. The data architecture included the development of a future state architecture with data integration, master data management, and reporting & analytics components that would serve as a template for the university. The implementation roadmap included a timeline of initiatives and highlighted required activities, costs, resource needs, and expected outcomes.


Creation of the data strategy allowed the university to align needs across the organization and outline a path forward. Implementation of the data strategy resulted in greater alignment of constituent interests and university offerings, leading to increased and meaningful engagement of alumni and other constituents. Creation of complete constituent profiles using data captured from various internal as well as external data sources resulted in a holistic understanding of the constituent needs and interests.
